Applicable, during a physical visit at our premises.

The information applies to the following addresses:

When you visit us, we process information about you to administer your visit, as well as for security purposes to know who is on our premises and to be able to deter crime

Which personal data is processed and how is such processing activity carried out?

When you visit us, we ask you to enter your name, telephone number, which company you represent and whom with us, you are about to meet in our visitor system. Once completed, the person that you are about to meet will receive a message that you have arrived. You will, if applicable, receive a confirmation message that the person you are going to visit is on his/her way to meet you. The person you visit is responsible for you during your time here with us at HQ.

Personal data entered, may be processed in the event of an incident, e.g., to create a list used for evacuation purposes during a fire, or to be able to make/file a police report if a crime is suspected.

Legal ground and your rights

We base our processing of your personal data on a legitimate interest. I.e., the processing activity is necessary to administer your visit and for security purposes to know who is on our premises in the event of an incident, such as a fire.

In cases where we process information about violations of the law, our processing of this information is necessary for the establishment, enforcement, or defense of legal claims.

In cases where we disclose information to authorities, on their request, such action (s) is necessary to fulfill legal obligations that lies on us according to the regulations of investigation and supervision.

Retention

The personal data processed, related to the visit, is saved for 30 days from the day of the visit.

Ahlsell Sverige AB is the Data Controller for the processing activity.

In the event of an incident on our premises, we may disclose your personal data to the emergency services.

In relation to a creation/filing of a police report, an ongoing investigation, or a supervisory activity, we may disclose your personal data to the authorities.

Purpose of the personal data processing

We process your personal data to prevent unauthorized access to our premises (Head Office).

Personal data processing

When the intercom is used, a photograph (a snapshot), is taken of the person making the call. The activity constitutes for a functionality in the intercom and is only used if there is a need to see who called at a certain time. For example, during a delivery.

Those who have access to the material (photograph) are the Receptionist and the Office Manager.

We base our processing of your personal data on a legitimate interest. I.e., the processing is necessary to prevent unauthorized access to our premises.
